Stave for retailers
Keep Collectors Informed
Check your actual stock before confirming availability. Your store’s updates are the official source; community sightings provide additional context.
Back to your store portalInventory and Freshness
Match each listing to the exact catalog bottle. Enter its price, size, quantity when known, availability and fulfillment. Save as a draft until you are ready to publish. Manual entry and CSV import both update the same inventory shown in Stave.
Only use the optional Product URL after Stave has approved product links for your store location. It may open the matching bottle page on your own website; collectors leave Stave when they follow that link. Your store handles any resulting order, payment, age and other eligibility checks, taxes, refunds, and permitted pickup, delivery or shipping. Stave does not accept orders, process purchases, sell alcohol or arrange fulfillment. Keep the link and destination accurate, and remove it if the linked offer is no longer available. Link approval does not confirm that a particular sale or fulfillment method is lawful.
Each stock confirmation lasts 72 hours. When it expires, the listing stays visible as availability unknown, with its last confirmation date. Old quantities and links are hidden. Confirm only after checking the listed stock, quantity, and price; update limited releases or sold-out items promptly when they change.
Use Confirm all still accurate only after checking every listed bottle. Bulk sold-out sets selected quantities to zero. Copying to another location creates unpublished drafts without quantities; it preserves listings already at that destination. Review the destination’s stock and prices before publishing.
The portal highlights items expiring within two hours. Optional reminders require an active editing role, an enabled device in the Stave app, and Store Drops notifications. Reminders are sent at most once per store per day; delivery also depends on your device settings.
Delivery Schedules
Choose the distillery or a general shipment, expected date or date window, and store time zone. For recurring deliveries, choose the weekday and end date. These describe incoming shipments to your store; they do not promise a particular bottle or customer delivery.
Check the schedule weekly and update delays as soon as you know. Mark arrivals delivered and cancelled shipments cancelled. Duplicate makes an unpublished copy requiring a new date. Delete removes obsolete schedules; cancelling is more useful when collectors need to know a published shipment changed.
Allocation Notices and Announcements
Draft first. Publish an event or allocation notice only after Stave has approved that notice type for your location and you have checked the retailer agreement and applicable permits and promotion rules. Paid-entry raffles, purchase-conditioned chance promotions, and alcohol prize giveaways are not authorized by the agreement. Stave does not collect entries or entry fees, select winners, or administer promotions. For an approved notice, explain the organizer, eligibility, entry method, opening and deadline times, draw date, pickup window, and other material rules. Verify links and your store time zone before publishing. Check active notices daily; update cancellations promptly. Published updates may notify collectors according to their preferences.
Account Roles
Owner and manager: maintain store information and manage inventory and events. Editor: maintain inventory, deliveries and events. Stave verifies store claims and access. Ask Stave to review staff changes; never share a login.
To hand over ownership, ask the incoming owner to sign in with their own account and submit an owner claim. Stave must verify and approve it. Confirm that the new owner can manage the store, then use Store access → Leave store. The final active owner cannot leave until another owner is approved. Store inventory and history stay with the store.
Suggested Routine
- Before the 72-hour window expires: check prices and stock, review expiring listings, and confirm only accurate items.
- As stock changes: update limited and sold-out bottles promptly.
- Every day during a lottery: check deadlines, eligibility and pickup instructions.
- Weekly: check deliveries, hours, contact details and official links.
- Staff departure, relocation or closure: contact Stave promptly to update access and location records.
Community reports never silently change your inventory. Investigate conflicting availability reports and update your stock if needed. Contact Stave support for a claim, duplicate location, map-pin correction or access review.
